01Who we are & scope

The SMARTnership Negotiation Organization — a trading name of Future Science Corp, a company based in California, USA (“SMARTnership”, “we”, “us”) — provides the Negotiation Copilot™ platform and its connected tools — Ask Keld™, Analyzer™, DealTable™, NegoDNA™ / Negotiation Profiler™, Negotiation Assessment™, NegotiationSIM™, and Negotiation Forecast™ (together, the “Services”). Future Science Corp is the data controller for personal information processed through the Services, except where we act as a processor on behalf of an organization (see below). This Policy applies to personal information we process when you visit our websites, create an account, subscribe, or use the Services.

Where you use the Services under a corporate license, your organization is typically the controller of the negotiation content you submit, and we act as a processor on its behalf; that organization’s own privacy notice may also apply.

02Information we collect

We collect the following categories of personal information:

  • Account & contact data — name, email address, company, role, and the credentials or single sign-on identifiers (e.g. Google or LinkedIn) you use to sign in.
  • Billing data — subscription plan, transaction records, and limited payment details handled by our payment processor. We do not store full card numbers ourselves.
  • Content you submit — contracts, proposals, RFPs, deal terms, counterpart information, simulation inputs, questions, and other material you provide to the tools.
  • Usage & device data — log data, IP address, browser and device type, pages viewed, and feature interactions, collected to operate and improve the Services.
  • Communications — messages, waitlist or demo requests, and support correspondence you send us.

03How we use information

We use personal information to:

  • Provide, operate, secure, and maintain the Services and your account;
  • Generate the analyses, profiles, simulations, forecasts, and guidance you request;
  • Process subscriptions, billing, and corporate licenses;
  • Respond to your requests and provide customer support;
  • Monitor, troubleshoot, and improve performance, reliability, and features;
  • Detect, prevent, and address fraud, abuse, and security incidents;
  • Comply with legal obligations and enforce our Terms;
  • Send service and, where permitted, relevant product communications (you can opt out of marketing at any time).

04AI processing of your content

The Services use artificial intelligence to analyze the content you submit and produce negotiation intelligence. To do this, your content may be processed by our AI infrastructure and trusted model providers acting on our instructions and bound by confidentiality and data-protection obligations.

  • We do not sell your content, and we do not use the confidential business content you submit to train publicly available foundation models.
  • AI output can be incomplete or inaccurate; it is decision support, not professional, legal, or financial advice. You remain responsible for your decisions.
  • Where you use the Services under a corporate license, content handling follows that organization’s configuration and agreement with us.

05Legal bases (GDPR)

Where the EU/UK General Data Protection Regulation applies, we rely on the following legal bases:

  • Contract — to provide the Services you or your organization have requested;
  • Legitimate interests — to secure, improve, and promote the Services, balanced against your rights;
  • Consent — for optional cookies and certain marketing, which you may withdraw at any time;
  • Legal obligation — to meet our accounting, tax, and compliance duties.

06How we share information

We share personal information only as needed and never sell it. We may share it with:

  • Service providers and subprocessors who operate the Services on our behalf (see below);
  • Your organization, where you use the Services under its corporate license;
  • Professional advisers, auditors, or authorities where required by law or to protect our rights;
  • A successor entity in connection with a merger, acquisition, or asset sale, subject to this Policy.

07Service providers

We engage reputable providers to deliver the Services, for example: cloud hosting and infrastructure; authentication and single sign-on; payment processing; AI model providers; email delivery; and product analytics. Each is contractually required to protect your information and process it only on our instructions. A current list of key subprocessors is available on request to the contact below.

08International transfers

SMARTnership operates internationally, so your information may be processed in countries other than your own, including the United States. Where we transfer personal data out of the EEA, UK, or Switzerland, we use appropriate safeguards such as the European Commission’s Standard Contractual Clauses (and the UK Addendum) together with additional measures where needed.

09Data retention

We keep personal information only for as long as necessary for the purposes described in this Policy — typically for the life of your account and a reasonable period afterwards — and as required to meet legal, accounting, or reporting obligations. You may ask us to delete content or close your account; we will do so subject to limited retention required by law or for legitimate business records. Where we act as a processor, retention follows your organization’s instructions and agreement.

10Security

We use technical and organizational measures designed to protect personal information, including encryption in transit, access controls and least-privilege permissions, network and application safeguards, logging, and regular review of our practices. No method of transmission or storage is completely secure, so we cannot guarantee absolute security; please use a strong, unique password and tell us promptly of any suspected compromise.

11Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information; to object to or restrict certain processing; and to withdraw consent.

EEA / UK (GDPR)

You may exercise the rights above and, if you have concerns, lodge a complaint with your local data-protection authority. We will respond within the timeframes required by law.

California (CCPA/CPRA)

California residents may request access to, deletion of, and correction of their personal information, and may opt out of any “sale” or “sharing” of personal information. We do not sell personal information. We will not discriminate against you for exercising these rights.

To make a request, contact us using the details below. We may need to verify your identity before responding.

12Cookies & analytics

We use strictly necessary cookies to run the site and keep you signed in, and — where you consent — analytics cookies to understand how the Services are used so we can improve them. You can control cookies through your browser settings and any cookie controls we provide. Disabling some cookies may affect how the site works.

13Children

The Services are intended for business users and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will delete it.

14Changes to this policy

We may update this Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Services after an update means you accept the revised Policy.
